Privacy Statement
Who are we and what do we do?
Future You is a pilot project, funded through the Community Renewal Fund. It offers Gateshead residents free vocational training and volunteering opportunities. It also provides confidential support and advice to help resolve money worries.
The service is being run as a partnership, with each of the following partner organisations offering something that will make a real difference to an individual's work skills and experience:
- Gateshead Council
- Citizens Advice Gateshead
- Youth Focus NE
- Connected Voice
- 2 Way Tenancy CIC
- Age UK.
For the purposes of this privacy statement all six partner organisations are Joint Data Controllers.
In addition, a company called Rocket Science will be evaluating the project’s process and impact at the end.
Appropriate Joint Data Controller and data processing agreements have been put in place between the partners and evaluator.
What type of information is collected about you?
In order to pass participants to the right partner, we will collect the following information about you:
- Contact details, including, name, address, post code
- Date of birth
- National Insurance Number
- Employment Status i.e. employed, unemployed or economically inactive
- How long have been unemployed
- If the participant is economically inactive – are they a student, carer etc.
- Any further support they may need or assistance requests
To ensure that we give you the right support, advice and guidance and to improve our service by ensuring we reach all sectors of the community, as well as supporting our research by using your data in a way that means you cannot be identified (such as providing an anonymous report to our funders), we may also need to gather the following special category information about you:
- Gender
- Ethnicity
- Disability/ Long term health condition
We are committed to keeping your personal details up to date, and we encourage you to inform us at stuartgibson@gateshead.gov.uk about any changes needed to ensure your details are accurate.
Our lawful basis for collecting and using your information:
We will only collect information about you after you have given your consent to be referred to the Future You programme.
Once your referral has been allocated to the appropriate partner best suited to your needs, they will become your Primary Partner. Your Primary Partner may contact you to obtain further information about you with your consent.
Where special category data is collected, we will only process this with your explicit consent.
You may withdraw from the programme at any time by contacting your Primary Partner.
You may withdraw consent for your data to be shared between the partners at any time by contacting your Primary Partner. However, doing so may mean you are not referred to the most appropriate partner.
How we collect information about you
The information that we hold about you has been provided by you when you have been referred into the service by the Council or by a community worker, or if you have self-referred.
During the programme, we may collect further information directly from you during our engagement with you, such as via telephone calls or emails. Such information will be treated in accordance with this privacy notice.
Why we need your information
We need your personal data to ensure that you are referred to the most appropriate partner and receive the most appropriate support as part of the programme.
We will only collect personal data that is absolutely necessary and any information we collect about you will be strictly in accordance with the Data Protection legislation and other statutory obligations which we are bound by.
Who your information will be shared with
Upon referral to the programme, your information will be shared between the partners named in this privacy notice.
Your information will also be shared with a company called Rocket Science who will be evaluating the project. As part of the evaluation, Rocket Science may contact participants to obtain their views of the service. They will only contact you if you have given explicit consent for this when agreeing to participate.
Your information will not be shared with any other organisations unless we are required or permitted by law to so. Where we are required by law to share your information with another organisation, we will inform you of such a requirement unless we are prohibited by law from informing you.
When sharing personal information, we will comply with all aspects of the Data Protection Act 2018 and UK GDPR.
How long we will keep your information
At the end of the project your data will be held securely for seven years, in accordance with the UK Community Renewal Fund: grant funding agreement
by your primary partner (the organisation you have been mainly dealing with) in accordance with their own data protection policies and procedures.
Data will be retained by Rocket Science until the evaluation report is completed and signed off, in September 2022. After this point, all copies of personal data will be destroyed.
Protecting your informationAll information held by the partner organisations about participants is held securely and in compliance with the Data Protection Act 2018 and UK GDPR. Each organisation is responsible for ensuring it complies with these requirements and for ensuring any information they process in reliance on this privacy notice is done so securely.
